What data do we hold about you?
- If provided, we hold your name and email address details. These have been collected through your Newsletter opt-in via our website, from direct contact via email or social media, or from face to face contact, normally through you providing us with your business card.
- If you have attended a coaching session, mountain day, retreat or other event with us, we will also hold your phone number (if provided.) In these circumstances, we also hold a booking form containing name, address, contact details, medical information, dietary requirements, experience of the activities concerned, and next of kin details.
- If you have attended a coaching session, we keep brief notes outlining a summary of the situation being explored and the coaching processes used during the session.
- We also hold a record of any invoices issued and payments received for services.
Why do we hold and store this information?
We hold this data to:
- process updates relating to the services we provide
- to keep in contact with previous and existing clients and those that have expressed an interest in our services
- with regards to booking forms, this is held as a record of who has attended events and any pre-existing medical conditions that we were notified of, in order to protect against any future insurance/injury/liability claims.
- With regards to session notes, this is held as a record of the session for conversations with our coaching supervisor (as per the best practice guidelines of my coaching school INLPTA) and to protect against any future liability claims
- With regards to payments, to comply with HMRC Tax requirements.
How did we collect your data?
- We collected your data because you provided it to us, either online via our website sign up, via email or facebook or other social media, by post or face to face, normally via a business card. This is because you have purchased a product or service, entered a competition or prize draw or explicitly expressed an interested in something we are offering and asked to be kept updated.
- Our website sign up connects directly to our mailchimp list, as indicated when you sign up, and if we receive data via any other channel, we add it to this list with your verbal or written consent.
- We store your data in MailChimp - an email processing tool which complies with all world-wide Data Privacy laws, including GDPR (General Data Protection Regulations).
- For booking forms and consent forms, we store these electronically on a laptop/computer (password protected) and in paper form in a locked office.
- For session notes, we store these in paper form in a locked office
- We also store data in spreadsheets for monitoring purposes of attendance at events and for ease of reference if we need to send update emails about an event
- To send you ad-hoc email updates from Reach the Peak about news, events or services we provide that we think you may be interested in. These may come via Mailchimp or directly from us, depending on the subject of the email
- To keep you up to date with changes and information for a particular event or session that you are registered for
- We may also invite you (which you opt in to) to our Facebook groups and like our Facebook business page.
- On occasion, we run retreats and events with other businesses/practitioners and on these occasions, your data will be shared with them.
- We do not share your data with any other parties or third parties, unless we are co-hosting an event with them, or unless your express consent has been given.
